Quaderno carries out all processing operations in strict compliance with European privacy laws and never sells personal data to anyone. You are in control of your personal information at all times.

Quaderno values your privacy and strives for its services to be safe and enjoyable for everyone. This policy sets out and explains how Quaderno collects and processes personal data, the purposes for processing and how we protect it.

Quaderno is committed to the Internet and to its users. This is why one of its main commitments is to provide the most secure and confidential service possible, ensuring the privacy of users' communications and personal data.

Why do we process personal data?

This policy applies when Quaderno process your personal data for various purposes when you interact with us, such as:

  • Create and facilitate accounts for users of our services.
  • Improve and develop the quality, functionality and user experience of our products and sites.
  • Offer customer support for our products and services.
  • Detect, mitigate and prevent security threats and abuse, and perform maintenance, and debugging.
  • Manage and send marketing preferences and content.
  • Create interest profiles in order to promote relevant products and services (profiling).

What personal data do we process?

Our guiding principle is to collect only what we need. Here’s what that means in practice:

Identity and access

When you sign up for Quaderno, we ask for identifying information such as your name, email address, and maybe a company name. That’s so you can personalize your new account, and we can send you product updates and other essential information. We may also send you optional surveys from time to time to help us understand how you use our products and to make improvements. With your consent, we will send you our newsletter and other updates. We sometimes also give you the option to add a profile picture that displays in our products.

We’ll never sell your personal information to third parties, and we won’t use your name or company in marketing statements without your permission either.

Billing information

If you sign up for a paid Quaderno product, you will be asked to provide your payment information and billing address. Credit card information is submitted directly to our payment processor and doesn’t hit Quaderno servers. We store a record of the payment transaction for purposes of account history, invoicing, and billing support. We store your billing address so we can charge you for service, calculate any sales tax due, send you invoices, and detect fraudulent credit card transactions.

Product interactions

We store on our servers the content that you upload, receive or maintain in your Quaderno account. This is so you can use our products as intended, for example, to create invoices. We keep this content as long as your account is active. If you delete your account, we’ll delete the content within 6 months. For such data we are the Processor and base our processing upon the agreement with the customer (the Controller).

General geolocation data

For most of our products, we log the full IP address used to sign up a product account and retain that for use in mitigating future spammy signups. We also log all account access by full IP address for security and fraud prevention purposes, and we keep this login data for as long as your product account is active.

Website interactions

We collect information about your browsing activity for analytics and statistical purposes such as conversion rate testing and experimenting with new product designs. This includes, for example, your browser and operating system versions, your IP address, which web pages you visited and how long they took to load, and which website referred you to us. If you have an account and are signed in, these web analytics data are tied to your IP address and user account until your account is no longer active. The web analytics we use are described further in our Cookies Policy page.

Anti-bot assessments

We use CAPTCHA across our applications to mitigate brute force logins and as a means of spam protection. We have a legitimate interest in protecting our apps and the broader Internet community from credential stuffing attacks and spam. When you log into your Quaderno account, the CAPTCHA service evaluates various information (e.g., IP address, how long the visitor has been on the app, mouse movements) to try to detect if the activity is from an automated program instead of a human. The CAPTCHA service then provides Quaderno with the spam score results; we do not have access to the evaluated information.

Advertising and cookies

Quaderno runs contextual ads on various third-party platforms such as Google, Facebook, and LinkedIn. Users who click on one of our ads will be sent to the Quaderno marketing site. Where permissible under law, we may load an ad-company script on their browsers that sets a third-party cookie and sends information to the ad network to enable evaluation of the effectiveness of our ads, e.g., which ad they clicked and which keyword triggered the ad, and whether they performed certain actions such as clicking a button or submitting a form.

We also use persistent first-party cookies and some third-party cookies to store certain preferences, make it easier for you to use our applications, and perform A/B testing as well as support some analytics.

A cookie is a piece of text stored by your browser. It may help remember login information and site preferences. It might also collect information such as your browser type, operating system, web pages visited, duration of visit, content viewed, and other click-stream data. You can adjust cookie retention settings and accept or block individual cookies in your browser settings, although our apps won’t work and other aspects of our service may not function properly if you turn cookies off.

Voluntary correspondence

When you email Quaderno with a question or to ask for help, we keep that correspondence, including your email address, so that we have a history of past correspondence to reference if you reach out in the future.

We also store information you may volunteer, for example, written responses to surveys. If you agree to a customer interview, we may ask for your permission to record the conversation for future reference or use. We will only do so with your express consent.

For the purposes mentioned in the section “Why we process personal data”, Quaderno does not process any sensitive personal data about you.

How is personal data collected?

In general, Quaderno collects personal data directly from you. If you purchase Quaderno’s products or services via a partner company, we may collect information about you from the partner company.

What is the legal basis for processing your personal data?

We process data based on several legal grounds.

Your consent

Quaderno might process your personal data based on consent. You will always be able to withdraw your consent at any time.

Legitimate interest

Quaderno has a legitimate interest when we process your data for security, support and improvement purposes, or when you act as customer contact/lead for our existing and potential customers, hereunder in customer support. Your personal data is processed from a business perspective in a manner that we believe does not conflict with your privacy rights or freedoms.

Further Quaderno processes data based on legitimate interest if you are signing up for a webinar, downloading reports or other content from our web pages. The legitimate interest is to provide you with correct content, hold webinars, do marketing and administrate your requests. How is your personal data shared?

Quaderno does not rent or sell your information, but we do disclose your information to a limited set of trusted third parties in the situations explained below, for which you, by using our services or sites, hereby explicitly consent:

  • We will disclose your personal information where we are bound to do so, at law or via a court order as well as to meet any legal or regulatory requirement or obligations. We will use all reasonable efforts to ensure that those requirements or obligations are in accordance with Applicable Law.
  • We reserve the right to disclose your information to any third party if we have reasonable information to believe that the disclosure is necessary for the purpose of an investigation and/or for the enforcement of any breaches of the Terms of Service (if applicable), to detect, prevent or otherwise address fraud, security, technical issues or other irregularities or illegalities, protect the rights and interests as well as the property of Quaderno.
  • We may also share aggregated, anonymized, non-personal information with the public or with any third party for researching or publishing industry trends related to Quaderno's Services.

Quaderno also works with third party providers which provide important functions to us that allow us to provide you a better service, and other business partners. We need to disclose user data to them from time to time so that the services can be performed.

We only share information with the third party that is required for the service they are offering and contractually bind these providers to keep any information We share with them confidential and to be used only for particular purposes. For example, amongst others, we have providers that process our credit card transactions, support our internal support system, and manage our marketing communications. By using Quaderno, you explicitly consent to, and authorize us to sub-contract in this manner.

When do we use processors?

Quaderno uses processors to process personal data. These processors are typically vendors of cloud services or other IT hosting services. When using processors, Quaderno will enter into a data processing agreement in order to safeguard your privacy rights. If processors are located outside the EU/EEA, we ensure legal grounds for such international transfers on your behalf, hereunder by using the EU Model Clauses.

How long is your data stored?

Quaderno will only store your personal information as long as required to perform our contractual obligations. Once this has been completed, Quaderno will keep this information, blocked, for the periods provided for by law to meet any liabilities and to demonstrate compliance with our obligations.

Invoices issued for the use of the service will be stored for a maximum period of 10 years in compliance with Article 63c of the EU VAT Implementing Regulation.

Personal data stored for marketing purposes, including leads or prospects will be deleted no later than 24 months after the last registered activity.

What are your rights?

You can invoke the following rights in relation to our processing of your personal data:

  • Access. You have the right to request a copy of personal data we process about you.
  • **Rectification. **You also have the right to request Quaderno to rectify inaccurate personal data concerning you. If you have an account for Quaderno’s sites or services , this can usually be done through the appropriate "your account" or "your profile" sections on the applicable site or service.
  • Deletion. You can request Quaderno to delete personal data relating to you.
  • Restriction. You may ask us to restrict the processing of your personal data
  • Portability. You may ask us to provide you or others with your personal data in a structured, commonly used and machine-readable format.
  • **Object. **On grounds relating to your particular situation, you have the right to object to our processing of your personal data on the basis of legitimate interests or for direct marketing purposes. You also have the right to object to our processing of your personal data for the performance of tasks carried out in the public interests or in the exercise of official authority or based on legitimate interests.

Please note that there may be certain exceptions or limitations to the abovementioned rights which could apply depending on the specific circumstances of your situation. In such cases, we will provide you with detailed information about the applicable exception or limitation and help you exercise your rights to the fullest extent possible, in accordance with applicable laws and regulations.

Finally, you also have a right to file a complaint to the Spanish Data Protection Agency with regards to our processing of your personal data.

Marketing and profiling

When you interact with Quaderno e.g. by visiting our websites, downloading content, attending webinars, and as part of using our services, Quaderno will be processing your personal data based on legitimate interest. One of our legitimate interests is the processing of personal data for direct marketing purposes.

Quaderno uses your personal data to provide relevant content to you through direct marketing on social media platforms and emails, webpages or in a service, based on your preferences. The personal data processed are aggregated details about you such as IP address, interests (where you have clicked, etc.), username and device. This is done through technologies like cookies and is called profiling. Quaderno will also be able to combine this information with information about the customer relationship we may have with your company.

The purpose of the profiling is to deliver customized marketing to you, improve your user experience with our services / websites and deliver products that our customers are satisfied with. Quaderno’s services are generally used as tools for work-related purposes, and your behavior in these tools says little about your personal life. No sensitive data is processed. Your personal data is therefore processed from a business perspective in a way that we believe does not conflict with your freedoms and rights as an individual.

Quaderno uses email as a tool to communicate marketing, however only if you have consented in accordance with national marketing legislation (if needed). If you have consented, you will always have the possibility to opt out as described below, or when you receive an email containing marketing.

Right to opt-out of marketing communications

You have the right to opt out of receiving marketing communications from Quaderno and being subject to profiling. You can do this by either:

  • Following the instructions for opt-out in the relevant marketing communication
  • Contacting us via e-mail at legal@quaderno.io.

You will also always have the option to opt into/out of cookies on a particular web page, through our cookie banner.

Please note that even if you opt out from receiving marketing communications, you may still receive administrative communications from Quaderno, such as invoices and notifications necessary to manage your account or the services provided by us.

Changes

We encourage you to review this policy regularly. If we make significant changes to it that materially alter our privacy practices, we may also notify you by email prior to the changes taking effect. You hereby agree that this shall constitute adequate notice in this regard.

All changes to this policy automatically take effect on the sooner of the day you visit our sites or use our services, or 30 calendar days after they are initially posted on this website. Your use of our sites or services following the effective date of any modifications to this policy will constitute your acceptance of it, as modified.
